Most companies booking their first event in Dubai start with a hotel ballroom. It’s the default because it’s the name everyone knows, not because anyone actually compared it to the alternatives. Then the invoice arrives for a 20-person training session, itemized down to the water bottles, and the math stops making sense.

Some of it is a training day for twelve people. Some of it is a client pitch that needs exactly one good boardroom table, not a banquet hall. Here’s what we’d tell you to check before booking any venue, including ours.
1. Does the room size match your headcount, or just look impressive in photos
A ballroom that seats 200 doesn’t get better because you’re only using a third of it. It gets emptier, and your 40-person workshop starts to feel like a wedding nobody showed up to. Work out your real number first, then look for a room built around it, not the other way round. This matters more for recurring events than one-off ones. If you’re running a monthly training session or a quarterly client day, booking a venue that’s always slightly wrong wastes money every single time, not just once.
2. Is AV support actually included, or is it a line item waiting to appear
Ask this one directly, because vague answers usually mean yes, it costs extra. Screen, microphone, video conferencing, someone who can fix it when it stops working mid-presentation — confirm all of it up front. A venue that includes tech support in the rate saves you from discovering a “technician call-out fee” on the final bill.
3. Can the space actually change shape, or is it one layout no matter what you booked it for
A training day needs rows facing a screen. A client pitch needs a boardroom table. A networking mixer needs standing room and nowhere near enough chairs. If a venue only does one of those well, you’re renting a room and forcing your event to fit it, rather than the other way round. 4. What does the price actually cover
Per hour or per day, and what happens if you run over. Whether setup and teardown time counts against your booking. Whether the quote you got is the number you’ll actually pay, or a starting point with extras layered on after. We’ve seen quotes that look reasonable until Wi-Fi, extra chairs and a second flip chart show up as separate lines. All-inclusive pricing exists for a reason: it means you can plan a budget once and not revisit it three times before the event happens.
5. How easy is it for your guests to actually get there
A venue in the middle of Downtown or Business Bay sounds convenient until your guests spend forty minutes in traffic finding parking. 6. Is catering handled, or are you sourcing it yourself the week of the event
Coffee and pastries for a morning session, a proper lunch spread for a full-day workshop, drinks for an evening mixer — figure out early whether the venue can arrange this or whether you’re calling caterers separately and coordinating delivery windows yourself. 7. What happens for the people who aren’t in the room
Parking for arriving guests. Security and access control so the wrong people don’t wander in. Someone on-site who can actually answer a question when your event coordinator is mid-presentation and can’t step away. These are the details nobody asks about in the sales call and everybody notices on the day, one way or the other.
